๐Ÿ“š DocIQ Library One source of truth

Where every DocIQ output lives.

Templates, generated documents, extraction schemas โ€” organized, versioned, governed, searched. One Library. Zero shadow drives.

DocIQ Library is the shared knowledge store underneath the suite. Every document Create publishes lands here. Every result Extract saves lives here. Every template Create uses, every schema Extract runs โ€” versioned, permissioned, audit-trailed, and findable in two seconds.

"The hardest part of any document program is finding the current authoritative version. We made that the default โ€” not the exception."

Why this exists

The real risk isn't a bad document. It's the wrong version of the right document.

Every regulated organization has the same horror story. The auditor asks for the policy as it stood in March. Three SharePoint sites are searched. Four people email screenshots. Two say "I think this was the version." Nobody is sure. The lawyers get nervous.

DocIQ Library makes that story impossible. Every document, template, and schema has a stable ID. Every change creates a new version. Every prior version is archived, not deleted, with a forward pointer to what superseded it. The "what was true on March 14" question has exactly one answer.

And it's the same store every other DocIQ module reads from. One Library. Five jobs. No shadow copies.

One thing Library is not Library is the index, not the storage. Your bytes stay in S3, SharePoint, Box, OneDrive, Drive โ€” wherever they already live. Library stores the IDs, the versions, the metadata, the audit log, and the workflow state. Migration is not a precondition for governance.

System collections

Three collections that ship with every tenant.

Protected. Always present. Maintained by the platform. Add any number of custom collections on top โ€” but these three are the foundation every DocIQ workflow assumes.

Templates

The five system templates plus every custom template your tenant creates. Versioned. Brand-kit aware. Fork to customize. The library Create reads from on every generation.

What's in the box

Six features that turn storage into governance.

๐Ÿ—‚๏ธ
Hierarchical folders
Custom collections nest as deep as you need. Build a taxonomy that mirrors your org chart, your domain map, or your audit framework โ€” Library handles the tree without complaint.
โŒ˜
Cross-collection search
One โŒ˜ K, every collection, every item type. Templates, documents, schemas โ€” searched together with relevance ranking. The Library's mantra: nothing hides.
โ˜…
Pinned items
Pin the documents your team uses every week. Pinned items always sort first inside their collection. Customize per-user; share pins across a team.
๐Ÿ”„
Supersession chain
v2 supersedes v1; v3 supersedes v2. Old versions never disappear โ€” they're archived with a forward pointer to the current authoritative version. Audits get the timeline.
๐Ÿ”
Inherited permissions
Library items link to the source document or system. ACLs on the source flow through. If a user can't read the source PDF, they can't see the extracted row. Period.
๐Ÿงพ
Audit log on every action
Created, viewed, edited, pinned, shared, superseded, archived โ€” every action stamped with actor, timestamp, and context. Audit-ready by default, not by retrofit.
Hierarchical structure

Build the taxonomy that fits your org.

System collections are fixed. Custom collections are yours. Nest folders as deep as you need. Move items across collections. Pin what matters. Search the whole tree from one place.

  • 1
System collections are immutableTemplates, Documents, Schemas โ€” system-protected. Attempts to rename, restructure, or delete return 403 by design. Your foundation never shifts.
  • 2
Custom collections are unlimitedBuild a "Pension Operations" collection with sub-folders for SOPs, Test Cases, Audit Evidence. Or organize by department. Or by program. Whatever fits your team.
  • 3
One item, multiple referencesThe same document can appear in "Operations" and "Q3 Audit" collections โ€” Library stores once, references many. Move never duplicates; supersede never loses.
  • 4
Pinned-first sortingPin a document and it sorts to the top of its collection automatically. Per-user pins for personal workflow; shared pins for team conventions.

Federated search

One query. Three item types. Every collection.

โŒ˜ K from anywhere. The result list mixes documents, templates, and schemas โ€” relevance-ranked, not collection-segregated. Match terms get highlighted. Click an item, jump to it. Find what you need before you've finished typing.

  • โ†’
Three character minimumStops you from drowning in results when you accidentally hit โŒ˜ K. Two characters too vague; three is the sweet spot.
  • โ†’
Cross-collection by defaultMost platforms make you pick a collection first. Library does the opposite: search everything, narrow with chips after.
  • โ†’
Permission-awareSearch only returns items the user can actually read. Restricted documents stay invisible โ€” no "you don't have access" teases.
Versioning & supersession

Every version preserved. Always one current.

When a new version supersedes an old one, the old version is archived โ€” not deleted. The chain is preserved. Auditors get the full timeline. Operators get one clear current version.

Why DocIQ Library

SharePoint isn't a knowledge store.

/ 01
Index, not storage โ€” federated by default
Library is the catalog and the workflow. The bytes live where they already live โ€” S3, SharePoint, Box, Drive, Confluence โ€” and Library tracks them. No migration. No "consolidate everything into the new system" project. No shadow copies.
/ 02
Built for DocIQ workflows
Library isn't a generic file dropbox. It knows what a template is, what an extraction schema is, what a document version chain looks like. Generic stores treat them all as "files."
/ 03
Stable identity, not stable URL
DOC-2026-00417 is the document, forever. Move it, supersede it, rename the file โ€” the ID still resolves. SharePoint URLs break the day someone reorganizes a folder.
/ 04
Supersession, not duplication
Most stores end up with twelve copies of the "final" SOP, named "final v2 final REAL FINAL.docx." Library has one current version and a supersession chain. That's it.
/ 05
One search across three item types
โŒ˜ K finds documents, templates, schemas in one query. Generic file stores can only search filenames; specialized stores require you to pick a type first. Library: search everything.
/ 06
Permission inheritance, not duplication
When DocIQ pulls a source from your SharePoint or Box, the source ACLs flow through Library. We don't re-implement your permissions; we honor them.
One Library. Five jobs. Zero shadow drives.

Stop hunting for the current version. Start trusting it.

Bring a real document mess โ€” multiple versions, scattered across drives, with the "current" one ambiguous. We'll show you what it looks like inside Library: indexed, versioned, governed, found in two seconds.
